Settling In Procedure - What happens and how do we do it at Oakfield ELC?

At Oakfield Early Learning Center here in JLT, every effort is made to work with parents for the best settling of each ‘unique child’. Timings are flexible and children are given plenty of time to settle in to their new environment, with the parent at close hand if need be.

We start off with ‘Stay & Play’sessions prior to registration. These can be for a couple of hours over a couple of days, preferably with mommy or daddy joining too. We advise parents that a shorter day is beneficial in the beginning, for a few days to about a week. Furthermore, it is important for children to leave in a positive frame of mind especially in the first few days.

It’s a good idea for your child to join a play date which includes sitting down to eat a snack with other children, and to visit the toilet with their parent to familiarize with the daily routines.

How long will it take for my child to settle into school, early learning centre or kindergarten?

All children are different and it is very normal for babies and small children to have some separation anxiety in the beginning. The settlement duration differs from child to child but usually within one to two weeks children are happy to come to nursery. Consistency and routine are ‘key’ in the settling process.  Also parents and carers need to keep a very positive attitude and keep any hesitation out of their expression and voice. Children are very good at reading adults and may sense parents’ nervousness.

What do I need to bring to nursery each day?

We discourage children from bringing their own toys but if there is a favourite toy or blankie that the child really is attached to then that is fine.

The normal requirement for every day is as follows:

  • Snacks and lunch in a thermos container and snack bag, depending on your child’s timings
  • Milk or formula, plus bottles or cups
  • Water bottle with extra water to be stored in their cubby
  • One or two changes of clothes, depending on your child’s age
  • Nappies, wipes and any creams you wish us to use
How often will my child get physical play?

Will my child go on outings?

At Oakfield ELC we have regular Field Trips throughout the year. Our children have visited the Aquarium at the Atlantis, Dig It, Oli Oli, XPark Jr, Zabeel Park, Legoland and Smurf Village at Dubai Parks and The Green Planet.

  • We take children on the Metro and the Ferry as a part of Transportation Topic each year
  • The older children (Nursery, FS1 and FS2) visit the JLT park on one day each week during the Spring term.

What happens if I am late collecting my child or have been unable to get to the nursery before the nursery closes?

We ask parents to let us know if they are going to be late. Oakfield closes at 6.00 pm every weekday. A charge of AED 100 is levied for late collection (beyond 6.15 pm).

What happens if my child has an accident at nursery?

Minor accidents are dealt with by our DHA (Dubai Health Authority) Licensed nurse.
As a part of our Registration process, parents are asked to sign a document which allows us to take their child to a Medical Facility in case of an emergency if the rare need should arise.

 

How long should I keep my child away from nursery if he/she is unwell?

Oakfield has an Infection Control policy in place which stipulates how long a child should be excluded depending on the illness. This policy is available on registration or by speaking to our DHA licensed Nurse. Alternatively, please contact our office to know more.

What if my child requires medication?

Medication can be administered at Oakfield by our nurse as long as it is prescribed for your child. The parent will be asked to complete a form granting permission for the nurse to administer the medication and also to stipulate the dosage.

Will my child be able to sleep during the day?

Oakfield Early Learning Centre allows children to rest peacefully during the day.
All classes for children under 2 years old have a separate room, designated for sleeping which is darker and calm. These children are able to sleep whenever they need or choose to. Sleepers are supervised at all times and never left alone.
For our older children who need to nap or rest during the day, a quiet area is set up within the classroom.

I have a Child of Determination (Special Educational Needs).

Oakfield ELC is an inclusive nursery. It is uniquely resourced, both in terms of staff (qualified Special Needs teachers and assistants), facilities (The Oakfield Achievement Centre) and specialised resources to accept a broad spectrum of Children of Determination.

How do you ensure safe pick-up of my child?

At Oakfield we take each child’s safety very seriously. There are a number of steps that we take to ensure this:

  1. There is a secure door at our entrance, which cannot be opened by children.
  2. There is also a safety gate 2 metres from our door.
  3. Should you wish your child to be collected by someone we are not familiar with and has not been previously introduced by you, please call us prior to the pick-up and and set up a recognition protocol.
  4. No visitors are permitted to enter the centre during working hours, all maintenance and visits are done out of hours.
What is the Fees and Refunds Policy at Oakfield?
  • Oakfield Early Learning Centre Fees for each new term are required before the new term starts. Parents will receive an invoice for the required amount. The fees for each term must be paid within 7 days of the start of the term. In the event of fees not being paid after the date specified, Oakfield Early Learning Centre will levy a charge of 10% of the fees due, commencing from the 1st date after the due date. If fees are not paid by the end of week three, the parents will be requested to not send the child to the Centre until the fees are paid. This will not apply if PDCs (post-dated cheque) have been received by the Centre.A returned cheque will incur a service charge of AED100.
    • Absences due to illness, vacations will not be refunded.
    • Any closure due to circumstances outside our control, there may be occasions when we are forced to move to e-learning or mixed learning models. There will be no adjustment in fees due to this.

    Should a child be withdrawn during the term, Oakfield will follow the KHDA guidelines for refunds.

    Refunds

    While registration, medical and other admission fees are non-refundable, tuition fee refunds follow the Ministry of Education/ KHDA Bylaws for Private Education.

    Under any circumstance, registration, medical and other admission fees are non-refundable. Refunds are only made on Tuition Fees.

      1. If a student withdraws prior to the start of the academic year, the balance of the first semester fees paid will be refunded.
      2. If a student withdraws during the school year, the tuition fee for the term is refunded in accordance with the Ministry of Education Bylaws for refund payments:
      3. If a student attends school for two weeks or less, one full month’s fee will be charged;
      4. If a student attends school for more than two weeks, but less than one month, two full month’s fees will be charged; and
      5. If a student attends school for more than one month, the entire semester’ fees will be charged.

    Withdrawals

    A written notice received one month in advance, conveying intention of withdrawal, is to be submitted to the Centre Director.  This time frame is required to ensure all necessary documents and reports are prepared.
